Summary
ReachCloser helps local businesses follow up with their customers to earn reviews, referrals and repeat business. To do that, we handle two kinds of information:
- Information about businesses that use ReachCloser, such as account and billing details. We decide how this information is used.
- Information about those businesses' customers, such as names, contact details and visit history. We process this only on behalf of the business, following its instructions.
We do not sell personal information. We do not share mobile phone numbers or text messaging consent with third parties for their own marketing. Anyone who receives a message through ReachCloser can opt out at any time.
1. Who we are
This Privacy Policy explains how TNETIC, Inc., an Illinois corporation that offers ReachCloser ("ReachCloser," "we," "us" or "our"), collects, uses and shares information when you visit reachcloser.com (the "Site"), create an account, or use the ReachCloser platform, AI agent and related services (together, the "Service").
In this policy:
- A "Business Customer" is a business that signs up for ReachCloser, along with its owners, staff and authorized users.
- An "End Customer" is a customer of a Business Customer whose information is uploaded to or connected with the Service, and who may receive messages from that business through ReachCloser.
- The "Technology Provider" is the third-party company from which we license the software that powers the Service.
About our technology. ReachCloser is offered by us, but the underlying software platform is licensed from the Technology Provider, which hosts and operates parts of the Service on our behalf. The Technology Provider processes information only to provide the Service, under a written agreement with us that requires it to protect that information.
2. Our role with your data
For Business Customers and Site visitors, we act as the "controller" (or "business") of personal information. We decide why and how it is used, as described in this policy.
For End Customer information, we act as a "processor" (or "service provider") on behalf of the Business Customer. The Business Customer decides which customers to contact and why, and is responsible for having the right to share that information with us and to send those messages. Our handling of End Customer information is governed by our agreement with the Business Customer, including our Terms of Use and any data processing agreement.
The Technology Provider acts as our subprocessor for both kinds of information. It may use its own approved subprocessors, such as hosting and AI model providers, under similar obligations.
If you are an End Customer and have questions about how a business uses your information, please contact that business directly. We will help them respond to your request.
3. Information we collect
Information Business Customers provide
- Account information: name, business name, email address, phone number, password and role.
- Business information: services offered, locations, staff names, brand voice preferences, review site links, social media account links, offer rules and messaging settings.
- Billing information: billing contact, plan and payment history. Card details are collected and stored by our payment processor, a third-party payment processor. We do not store full card numbers.
- Communications: messages you send us, support requests and survey responses.
End Customer information
Business Customers upload or connect information about their own customers, which may include:
- Name, phone number, email address and messaging app identifiers
- Visit, appointment, service and purchase history, including the staff member who served them
- Preferences, notes, birthdays, and details such as vehicle or pet information that a business chooses to store
- Messages exchanged with the business through ReachCloser, including feedback, replies and review or referral activity
- Opt-in and opt-out status for each channel
Information from connected services
When a Business Customer connects a booking, point-of-sale or CRM system, or a messaging channel such as WhatsApp, SMS or email (and LinkedIn, once available), we receive information from that service as authorized by the Business Customer, such as new appointments, contact details and incoming messages.
Information collected automatically
- Device and usage information: IP address, browser type, device type, pages viewed, links clicked and the date and time of visits.
- Message engagement: whether a message was delivered, opened or replied to, and whether a review, follow, referral or booking link was clicked.
- Cookies and similar technologies, described in Cookies and analytics.
4. How we use information
We use information to:
- Provide the Service, including sending follow-ups, review requests, reminders, promotions and referral invitations on a Business Customer's behalf
- Personalize messages and decide when and on which channel to send them, based on a Business Customer's goals and settings
- Summarize feedback, identify themes and alert Business Customers to concerns
- Track outcomes such as reviews, return visits, referrals and attributed revenue
- Honor opt-outs and messaging limits across channels
- Process payments, manage accounts and provide customer support
- Maintain the security and reliability of the Service, and prevent fraud, spam and abuse
- Improve and develop the Service
- Send Business Customers product updates and marketing, which they can unsubscribe from at any time
- Comply with legal obligations and enforce our agreements
We use End Customer information only to provide the Service to the Business Customer that supplied it, and as otherwise permitted by our agreement with that Business Customer or required by law.
5. AI features
ReachCloser uses artificial intelligence to write and personalize messages, respond to replies, classify feedback and summarize conversations. The AI capabilities are provided through our Technology Provider, which uses large language models from third-party AI providers. To generate a message, relevant information (such as a customer's first name, recent visit details and the conversation so far) is sent to these providers for processing.
The Technology Provider and its AI providers may process this information only to provide the Service. Our Technology Provider does not use Client Content or conversation data to train its AI models, and its AI subprocessors are contractually prohibited from training on that data.
AI-generated content can be inaccurate. Business Customers can review messages, require approval for campaigns and take over any conversation at any time.
6. Messages we send
Messages sent through ReachCloser are sent on behalf of, and identify, the Business Customer. Business Customers are responsible for obtaining any consent required by law before messages are sent, including for text messages and marketing emails.
Opting out. End Customers can stop messages at any time by replying STOP to a text message, using the unsubscribe link in an email, replying STOP or using the opt-out option in WhatsApp, or contacting the business directly. Once someone opts out, ReachCloser will not send them further messages from that business on that channel, except a single confirmation of the opt-out where the law allows.
Text messaging. Message frequency varies. Message and data rates may apply. Reply HELP for help.
Mobile information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories of sharing described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, except service providers that help us deliver messages.
9. Data retention
We keep information only as long as needed for the purposes in this policy, unless a longer period is required by law.

10. Security
We and our Technology Provider use administrative, technical and physical safeguards designed to protect information, including encryption of data in transit (TLS) and at rest, access controls and authentication, regular security reviews, and monitoring for unusual activity. Our agreement with the Technology Provider requires it to protect information and to notify us of a security incident affecting it without undue delay. If an incident affects your information, we will notify you as required by law.
No system is completely secure, and we cannot guarantee the absolute security of information.
11. Your rights and choices
- Business Customers can access and update account information in their account settings, export or delete End Customer information, and unsubscribe from our marketing emails at any time.
- End Customers can opt out of messages as described in Messages we send. To access, correct or delete your information, please contact the business that messaged you. If you contact us, we will forward your request to that business and help them respond.
Depending on where you live, you may have the right to request access to, correction of, deletion of, or a copy of your personal information, and to object to or restrict certain processing. To make a request, contact us at [email protected]. We will verify your request and respond within 30 days, or sooner if the law requires. We will not discriminate against you for exercising your rights.
12. Regional privacy rights
United States
Residents of California and certain other states have rights under state privacy laws, including the right to know what personal information we collect and how it is used and shared, to request deletion or correction, and to opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are defined under these laws. You may use an authorized agent to make a request on your behalf.
Where information is processed
ReachCloser is based in Illinois, in the United States. Some processing by our Technology Provider and its subprocessors occurs outside the United States, including in the European Union. Where personal information is transferred internationally, our Technology Provider relies on recognized safeguards such as Standard Contractual Clauses.
European Economic Area, United Kingdom and Switzerland
Where the GDPR or UK GDPR applies, we process Business Customer personal information based on our contract with you, our legitimate interests in operating and improving the Service, your consent where required, and our legal obligations. You may also have the right to lodge a complaint with your local data protection authority. When we transfer personal information outside your region, we use appropriate safeguards such as Standard Contractual Clauses.
13. Children
The Service is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children under 13. Business Customers should not upload information about children. If you believe a child has provided us personal information, please contact us and we will delete it.
14. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify Business Customers by email or through the Service before the changes take effect, and update the "Last updated" date above.
